A violation letter that fixes the issue, not the friendship.

Most violation letters read like parking tickets, and boards wonder why neighbors stop waving. Here is a three-letter sequence that gets compliance while keeping the community a community. Copy freely.

Rules for letters that work

  • Cite the exact covenant section, always
  • State the fix and a realistic deadline
  • Offer a human to talk to before a hearing
  • Same standard for every home, including board members
  • Document everything with dates and photos
The Sequence

First notice, reminder, hearing

Letter 1: Friendly first notice

Dear [Owner name],

During a routine community review on [date], we noted [specific observation, e.g. "a trailer parked in the driveway"] at [address]. Section [X.X] of our governing documents asks that [plain-English restatement of the rule]. We know these things are usually oversights, so this is simply a heads-up: if the item is addressed by [date, typically 14 days], no further action occurs and this notice closes automatically.

If something makes this difficult, or you believe we have it wrong, reply to this letter or call [contact]. We would rather talk than escalate.

Letter 2: Documented reminder

Dear [Owner name],

On [date] we sent a courtesy notice regarding [issue] at [address] under Section [X.X]. As of [date], the item remains unresolved. To keep standards consistent for every home in [community], we need this addressed by [date]. If it is not, the board's next step under our enforcement policy is [fine schedule / hearing], which we would honestly prefer to avoid.

If the issue is already fixed, reply with a photo and we will close this same-day. If you need more time for a real reason, ask - documented extensions are routine.

Letter 3: Hearing notice

Dear [Owner name],

This is formal notice that the board will hold a hearing regarding [issue] at [address] under Section [X.X] on [date, time, location/virtual link], as required by [state statute / governing documents]. You are invited to attend, present information and be heard before any decision is made. Prior notices were sent on [dates]. If the violation is corrected before the hearing, notify us and the hearing may be canceled.
